The information we collect
- When you contact us by phone or email: your name, contact details and your message.
- When you book online through Calendly: your name, email address, phone number, the appointment you choose and any answers you give.
- When you become a patient: your medical history, consultation notes, clinical photographs, consent forms, treatment records and payment records.
- When you visit this website: technical information such as your IP address, browser and the pages you visit. Our host keeps this for a short time for security. We also count visits with anonymous statistics that set no cookies and do not identify you.
Health information
Information about your health is “special category data” and has extra protection under the law. We use it only to give you safe, appropriate care: to assess whether a treatment suits you, to treat you and to look after you afterwards. The legal condition we rely on is the provision of health care by a health professional under a duty of confidentiality (UK GDPR Article 9(2)(h)). Dr Raman is bound by medical confidentiality.
Why we use your information, and our legal basis
- To answer your enquiry and book appointments: to take steps you ask for before a treatment, and our legitimate interest in responding to you.
- To give you consultations and treatments: to perform our agreement with you, and for health care (see above).
- To keep medical and financial records: to meet our legal and professional obligations.
- To keep this website secure and understand how it is used: our legitimate interest in running a safe, useful website.
We do not send you marketing without your consent. If you have given consent for anything, you can withdraw it at any time.
Who we share it with
We share your information only when we need to:
- Service providers who work for us, under contract and only on our instructions: website hosting and anonymous visit statistics (Vercel), online booking (Calendly), and our email, patient-record and accounting providers.
- Other health professionals, such as your GP, with your consent or when it is needed for your safety.
- Authorities and regulators, when the law requires it.
We never sell your personal information.
Information sent outside the UK
Some of our service providers, such as Vercel and Calendly, are based in the United States. When your information is sent outside the UK, we make sure it is protected, for example by the UK’s data bridge with the United States or by the UK’s approved contract clauses.
How long we keep it
- Patient records: 10 years after your last treatment.
- Enquiries and bookings that do not lead to a treatment: up to 6 years, so we can help you if you come back to us and answer any later questions or claims, then deleted. If you become a patient, your messages become part of your patient record.
- Payment and accounting records: 6 years, as the law requires.
- Website technical logs: a short time, for security only.
Your rights
You have the right to:
- be told how we use your information (this page);
- get a copy of the information we hold about you;
- have wrong information corrected;
- have your information deleted, when we no longer need to keep it by law;
- restrict or object to how we use it;
- receive your information in a format you can give to someone else;
- withdraw your consent at any time, where we rely on consent.
To use any of these rights, contact us at info@drramanmedicalaesthetics.co.uk. It is free, and we will reply within one month.
Complaints
If you are unhappy with how we use your information, please contact us first so we can put it right. You can also complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint, or 0303 123 1113.
Cookies
This website sets no advertising or tracking cookies. While parts of the site are private, a strictly necessary cookie remembers that you entered the password (btx_auth for the preview, drafts_auth for articles waiting for review). They hold no personal data and need no consent.
Visit statistics, without cookies. We use Vercel Web Analytics to count visits and see which pages are read and how visitors found the site. It sets no cookies and does not identify you: visits are counted in aggregate.
Google Maps and Calendly. The map on our contact page and the booking calendar load only when you click to show them. Google and Calendly may then set their own cookies, under their own policies: Google and Calendly.
You can also block or delete cookies in your browser settings.
